Terms & Conditions.
1. Booking confirmation.
All bookings require £50 initial deposit to be paid by debit/credit card via a link which we will email to you. The remaining balance can be paid on the day or before if you prefer. Please note, your booking is not completed until you have paid your deposit. This means that until you have paid your deposit, the slot is free for others to book. Once you have been sent your deposit link, your slot will be held for 24 hours. If you do not pay your deposit in 24 hours, the system will automatically cancel your booking.
A booking is not confirmed until the deposit has been paid and funds are cleared.
2. Cancellation/Refund policy.
If you need to cancel your booking, our cancellation policy is as follows:
All deposits are non refundable.
If you do need to cancel, you can use the deposit to reschedule your booking.
If you need to cancel, you must let us know via email.
All parties must be cancelled at least 48 hours before the Game van party. If at least 48 hours notice is not given, the whole amount will be due.
3. Game van user age limits
For safety reasons, children under the age of 6 are not permitted to enter or use Game Van at any time. Game Van is not suitable for very young children due to several safety concerns. Entry is accessed via steps that may be uneven depending on the surface the van is parked on. Additionally, the van can shift slightly when people move inside, which may increase the risk of trips or falls for younger children. Each gaming console also contains ventilation fans with openings that could pose a risk to small fingers. As the event booker, you are responsible for ensuring that no child under the age of 6 enters Game Van at any time. If a child under this age is found onboard, they will be asked to exit immediately. Repeated violations will result in the immediate termination of the session. Should this happen, no refunds will be offered. We appreciate your cooperation in helping us maintain a safe environment for all participants.
4. Unforeseen circumstances.
3.1 Game van reserves the right to cancel, alter, or delay any booking where forced to do so by circumstances beyond our control, such as pandemic, serious illness, severe weather or any other circumstances which would subject Game van or any of its employees or any of its participants to danger. However, an alternative date will be arranged.
5. Media Rights.
5.1 During the event we may take some photos and videos. All photographs, videos, or other recorded media may be used by Game Van for the purposes of marketing or advertising without any request being made to the featured parties and without any payment or compensation being offered. If this is not acceptable please notify us by phone or e-mail and we will ensure that no photos or videos are taken during your Game Van visit.
6. Liability
Although we will endeavour to arrive before before the time booked we cannot be held responsible for events which are out of our control such as traffic or other uncontrollable circumstances preventing us from being able to fulfil our obligations. In the event of late arrival we will continue the session until the correct amount of time has been reached.
In the unlikely event of a major technical failure on board, a full refund will be offered or an alternative date arranged.
Under no circumstances can we be held responsible for any damage to driveway or ground’s that is considered to be caused by our vehicle, crew or party goers. It is the party organiser’s responsibility to take advice from a qualified person, whether the grounds are suitable to support our vehicles.
7. Damages.
7.1 In the event of damage to our equipment or Game van that is caused by harsh treatment or vandalism that is deemed purposeful, we reserve the right to charge to the originally contracted person the full amount to repair or replace the equipment. Any damages must be reported to a member of staff immediately. Feet must be kept off the furniture including seating at all times. Anyone repeatedly breaking this rule will be asked to leave.
8. Age appropriate gaming.
The Video Recordings Act 1984 makes it illegal to supply a PEGI 12, 16 or 18 rated game to a person under those ages. It doesn't make it illegal for a younger person to play a game if their parents allow them to.
At the time of booking, we will ask you if you would like any to restrict which games can be played. Where the answer is yes, we will tell all Children which games they will be able to play. We will then ensure that only games authorised games are played. This is done by manually checking which games each Child is playing on. It is not done by changing the settings on each console. This is because there is not enough time to change the settings on each console at the start of each session.
If this question is not answered, it will be assumed that the children can only play games rated to match their age. It is the sole responsibility of the person making the booking to speak to each parent to help decide if restrictions need to be in place or not. Where one or more person is not able to play particular games, we would recommend restricting games for all guests so that those restricted are not subject to those games being played around them. Again, this decision must be made by the person booking the party. We are unable to make this decision for you. If you are unsure with anything related to age ratings, please get in touch and we will be happy to answer any questions you might have.
9 Game updates
Some games require regular updates and we are not in control of when or if games will need to update. We check for updates every night but there is a chance that an update will be required when in a session. Some games can take several hours to update. where this happens, it is possible that some games may not be available for a booking. Where this happens, we are unable to provide any compensation.
10. Food and drink consumption.
No food or drinks to be consumed on board at any time. Any one found consuming food or drink on board Game Van will be asked to leave temporarily.
11. Safety of participants.
We will not tolerate bad language, aggressive or threatening behaviour to our team or other users. We reserve the right to send away any person who is found to be unmanageable or a danger to the safety or enjoyment of others. We reserve the right to end the session immediately if we experience persistent behavioural issues. In this event no refund will be given. Any additional costs involved in removing the participant will be covered by the client. The safety of our customers is of paramount importance.
For the comfort, health and safety of all participants, Game van operates a strict NO SMOKING policy.
The Company will accept no liability for problems arising from failure to accept and/or respond to the authority and instructions of the appointed staff.
12. Parking Restrictions.
Please be aware that the responsibility of arranging a suitable parking space falls with the person or persons that have booked and paid for the hire of Game Van.
Game Van dimensions are:
7.5 m in length
2.1 m in width
2.7 m in height
13. Requirements.
Game van requires the following during a booking:
Either a suitable parking bay that has no restrictions.
Or a Parking space of approximately 7.5m long and 2.5m wide
Or a Suitable driveway of approximately 7.5m long and 2.5m wide
A clearing to the rear of Game van for passengers to board safely. We need to open the back doors and place some steps at the rear.
Access to two standard plug sockets & Internet Router no further than 20m from the allocated parking space (unless you require a generator.)
If a driveway is used, there must be enough room for Game Van to turn in to the driveway without causing damage to the driveway or Game Van.
The route to the final parking position must be completely clear. We are unable to drive Game van anywhere, where branches, bushes or trees will come into contact with the van and prevent us from parking. This can cause permanent damage to our van. Our van is around 3.5m high, so we recommend checking roads and drives prior to our arrival to ensure the route has no restrictions. If we arrive and are un able to park due to branches, bushes or trees blocking our path, we may need to cancel the booking. should this happen, no refunds will be offered.
14. Restrictions.
Game van cannot not be parked on a yellow line.
Game van cannot not be parked across other residents drives.
Game van cannot block in any vehicles.
Game van cannot block any foot paths.
Game van cannot be parked anywhere where it is at risk of being issued a penalty.
Game van cannot be parked on a main road where it or the passengers could be at risk.
Game van cannot be parked on a main junction or anywhere where it may be obstructing traffic.
If any fees are to be paid for parking, this must be covered by the person booking Game van for hire.
Any extension leads used must not be crossing any roads which could result in a hazard for cars or people using Game van.
Any extension leads cannot be blocking any busy foot paths where they may cause a hazard to members of the public.
If on arrival the parking space is insufficient or we cannot park for any other reason, we will be happy to try one more nearby alternative location, so please make sure you have a back-up plan. However, we do reserve the right to leave if the above requirements are not met. No compensation will be given.
15. Terrace Streets
Whilst we are happy to visit you if you live on a terrace street, it is the responsibility of the person who booked and paid for the booking to ensure that we are able to both drive down the street and park outside the address specified on the booking. This may included clearing space on the opposite side of the road if the road is particularly narrow. It is also responsibility of the person who booked and paid for the booking to ensure that Game van is also able to leave the address once the session is complete. We will never risk damaging our property or that of other residents.
16. How will we use information about you.
Here at Game van we take your privacy seriously and will only use your personal information to administer your account and to provide the products and services you have requested from us.
17. CCTV
Game van is equipped with a security camera for your comfort and security. The Camera is not linked to any kind of cloud storage and has an internal memory of 32GB. Any footage is over written once the memory card is full.
18. Internet Speeds
We require an internet speed of at least 40mbps. We would recommend carrying out an internet speed test prior to booking with us to ensure that your internet speed is sufficient. If you need help with doing this, please let us know and we would be happy to talk you through. If your internet speed is below 40mbps, we will use our 5G mobile broadband router providing there is a strong enough 5G speed in your area. If we arrive at the venue and the internet speed is not sufficient, we may need to cancel your visit. If you have failed to inform us of a slow internet speed at your home prior to our visit, no refunds will be offered.
19. PlayStation & XBOX networks
Most of the games onboard work using the PlayStation or XBOX networks. Very rarely, these networks go down and when they do, it massively reduces the amount of games we can offer. It means that any games that use the network cannot be played. This is something that is not in our control. If the network is down on the day of your visit, we will let you know as soon as we do. You will then have three options available to you. Carry on with the booking as planned using the games that are available, reschedule the booking or cancel the booking and receive a full refund. If you decide to continue with the booking as planned, we are unable to offer any compensation.

21. Session start times
Your session will begin at the scheduled time and run for the full duration you have booked. Unfortunately, we are unable to delay the start of the session to accommodate late arrivals, as this would delay bookings scheduled immediately after yours. We recommend starting promptly at the booked time, with any latecomers joining in as they arrive.
